Region 6 Show Commission Conference Call
December 19, 2005
Those attending: Deb McGuire, Mary Boden, Dick Petersen, Val Stoffel, Cheri Clark, Kara Van Bockern, Linda Harrison. Later joined by Dorothe Fisher & Laura Schwab.
Deb has emailed the NDAHA club re: dates for their Double the Fun Show listed as Nov.19-20. Need to correct dates.
Deb discussed classes to be held and fact that payout monies can be split somewhat according to previous year's classes and entries. With new Sweepstakes classes some of the splits may be made according to exhibitor age or by number of entries in class. Decided to split any classes with over 22 entries. Schedule is to have Sat AM - Western finals and Sat PM - Hunter finals. Discussion was held regarding junior classes in Hunt Seat and Saddle Seat Eq. Also discussed splitting Friday with Horsemanship with 5 classes. No Working Cow classes will be held, so Reining can be moved to Thursday. Can begin with Reining, move to Trail, and back to Reining for Junior Horse.
Dick recommended holding Regional meeting Thursday after last class.
Without 2YO gelding and 2YO mares Sweeps classes, will have more time available.
Cheri stated that cutting 3-4 classes from 130 and adding 2 split on Friday won't make much difference in time. The 2 driving classes on Sat. will be dropped.
Charge for stalls was discussed, since 100 stalls will be outside the main barn. Currrent fee is listed at $125/stall. Could charge $100 for outside stalls.
Shortening the length of the Regional show is desirable, but unable to do so for '06-'07, since we are already locked in to the price for the facility for those 2 years. If/when move to another facility or renegotiate charges, will look into shortening. Will benefit exhibitors in less costs, perhaps increasing entries.
Pre-Show will start Wed. at 7:30 AM. 75 classes scheduled. There will be no special awards for the pre show, just ribbons/whatever for 1st place and champion.
The contracts have all been sent out. Cheri will email Deb the list of officials for the premium book.
Regional awards were discussed. Mary stated many ribbons were leftover. Replacements for those needed could be ordered, saving on complete orders. Also if numbers are leftover, we may not need to order more. Jean Frederichs will need numbers early for the exhibitor packets. It was discussed that most of the commission members felt for regional awards, a champion and reserve trophy of some sort is preferable to just giving the champion an award. A merchandise award could be used in place of a trophy. $14,000 was spent in 2005 for awards. It was less than it would have been, due to lower ribbon expenses and no reserve awards given. $10,600 was spent on Champion trophies, so have a bit of room in budget to plan for reserve awards. Need to check first to see what ribbon expenses will be. Dorothe suggested Mary check with Janda, company MAHA orders their awards from, since Dorothe feels they have been reasonably priced and easy to deal with. Mary will also order the AHA Eq. medals. Mary also needs awards for Regional Endurance Ride.
AHA doesn't use Regional flags any more. Deb will call to see, if we can get the Region 6 flag back for our use.
Dick stated that the Brookings motels will be notified of the dates of the pre-show and regional show, but they will not hold blocks of rooms for the region as they did in 2005, so exhibitors will be notified to make their arrangements as early as possible in order to guarantee getting a room.
It was suggested that a volunteer check in sheet and a schedule form be made available.
The Regional Directory will probably go to the printer in February. Prices for ads, etc. are on the regional website.
The Center Ring was discussed. New arena is 200'X120', large enough to accommodate a center ring area for judges and ring people to sit between classes. There is no smoking allowed (0r fires) at the Brookings facility. This needs to be widely publicized, since there were some violations last year. Concessionaire will be the same as 2005.
Deb addressed the Sport Horse classes. A few different possibilities were discussed. Val will check out possibility of the classes being held Aug 5-6 at Windom, MN. There is a conflict in dates for an Iowa and a MN show the following weekend. The 3rd weekend in August is same as Canadian National Show. Rapid City facility was suggested for Labor Day weekend. Cheri will check on those dates.
