Meeting opened with Roll call, Show Commission Chair Cheri Clark, also Show Manager; Director Deb McGuire; Vice Director Dick Peterson; Treasurer Mary Bowden; Val Stoffel Minn I Kota; Margarie Pope WAHA; Christie Messer Tri AHClub; Jean Fredrich NDAHA and Show Secretary; Missing were Carlton Huit, Dorothe Fisher, Linda Harrison(Commission Sec.) and Kara Van Bockern TAHSSD. Report from the site visit from Deb McGuire and Dick Peterson from May 23, 2006.
Changes from last year include the moving of the Show arena to the main building that is all Air conditioned. Arena will be 120 X 185 with a 12X 24 center ring below footing level. Announcer and judges in center ring. 8 foot burgundy curtains will be put on the outside of the panels of the arena except between the on deck area. On deck arena is 60 X 120 with both in gate and out gate. Patron Lounge will be on upper deck with chairs and tables overlooking the arena. Show office will also be in the north east corner of the same building.
Stalls will be in 5 areas the multi purpose barn just to the north of the show arena with dirt floors will be the first to service the first patron stalls; 2nd is the blue rink with dirt floors; 3rd is the blue rink with tarp over cement floors; 4th is the 50 tented stalls on asphalt outside to the north of the Tented Warm up arena. 5th is the covered stalls out side with overhangs of tarp(50 stalls) The warm up arena tent is open 7&1/2 feet sides with a covered tent 82 X 150. There will also be areas with clay/sand footing for lounging outside next to the warm up tent and covered stalls, along with the outdoor arena on the hill.
Youth lounge will be provided in the last year's office space. The Swiftel facility also purchases new dirt for the footing this year and have had a show already use this that was very satisfied. More details were discussed about computer and system uses.
Campers are reminded that there is an on site dump station. Cheri reminded Dick that we need to reserve two camp sites for our Videographer and Margarie Pope. Also arrangements for transportation from Sioux Falls needs to be finalized for our officials.
We need a Trail Course designer that is a USEF member, no volunteers so Cheri will ask Myron to give her a design for both classes that we can get set up.
Discussion about some class code and class changes – Pre Show class #9 and #12 that were printed as AOTH will be changed to ATH, also addition of HA Reining Jr. Horse class, and the REGIONAL CLASS #39 was listed as AAOTR 18-39 and should be 18 & over. The commission has decided to split the Hunter and Western classes 18-39 and 40 & over but not the Country classes due to numbers entered. Cheri will be calling AHA and finalizing a letter to be sent to all exhibitors and the mailing list from last year exhibitors and the regional members, it will also be posted on our web site.
Cheri will also contact AHA about the promotional booth that we had last year, and Deb will find out about getting some AHA Corporate Sponsor banners to display around the arena. Also clubs with banners are welcome to have displayed.
Photographer has requested a awards presenter also for photos. Christie Messer is helping with presentations and Margarie Pope will be bringing some girls, but we may need additional help.
Deb will contact Kara Van Bockern about doing the decorating for center ring.
Jeannie reported we have 11 patrons so far, and not any entries to date. The ND Show at Sauk Center had 174 horses at their show.
Discussion about the Rapid City facility visit next week opened some concerns about dates. This will be an on going decision based on budgets and dates facilities are available. Deb suggested a two year rotation because of the two year qualifying system AHA now has in place. This will be discussed again as we search for the future dates of our Regional Show. The Brookings facility suggested that they would rather see a 2 year rotation as well. Our 3 year contract with Brookings ends 2007, so we are looking for 2008-9 or 10 to go back west.
Mary Bowden reported that all the Ribbons for Endurance have been mailed to Cheri for the Regional Ride. The Champion trophies are done, but she hasn’t received the Reserve plaques as yet.
